This policy explains what personal data Signx collects, why we collect it, and what you can do about it.
1. What we collect
Account data you give us (name, email, organisation), the documents you upload and the fields you place on them, and technical data generated by use of the service: IP address, device and browser information, and timestamps.
2. How we use it
To operate the service: authenticate you, deliver envelopes to signatories, render signed documents, produce audit trails, provide support, and keep the platform secure. We do not sell personal data.
3. Documents and the audit trail
A signature's evidential value depends on the audit trail, so entries recording who signed, when, and from which IP address are immutable and are retained with the signed document. This data cannot be edited or selectively deleted without destroying the document's integrity.
4. Sharing
We share data with service providers who host our infrastructure, deliver our email, and store documents, each under contract and only as needed to provide the service. We disclose data to authorities only where legally required.
5. Retention
Account data is kept while your workspace is active. Completed envelopes and audit trails are retained for the period required by applicable law, then deleted. Drafts you delete are removed from active systems promptly.
6. Security
Data is encrypted in transit and at rest. Access to production systems is restricted and logged. No system is perfectly secure, so we also commit to notifying you promptly if a breach affects your data.
7. Access by Signx staff
Authorised Signx personnel can access the contents of documents in your workspace and the values entered into them. This is used to investigate support requests, resolve technical faults, and respond to abuse or a lawful request. Every such access is recorded with the person, the workspace, the document and the time. We do not use your document contents for any other purpose, and we do not train models on them.
8. Your rights
You may request access to, correction of, or deletion of your personal data, and you may object to certain processing. Where a document's audit trail must be preserved by law, we will tell you which data we cannot delete and why.
9. Cookies
We use only the cookies needed to keep you signed in and to remember your language. We do not use advertising or cross-site tracking cookies.
10. International transfers
Where data is processed outside the United Arab Emirates, we rely on contractual safeguards with our providers to protect it to an equivalent standard.
